Position Overview: The Director of Travel is a key role within this company, combining expertise in travel management, account management and luxury concierge services. This role is dedicated to delivering exceptional travel experiences toclients while supporting the broader concierge, event planning and administrative functions of the team.


Key Responsibilities:

Client Interaction & Account Management:

  • Act as a trusted travel advisor and point of contact for both individual and corporate clients.
  • Manage all aspects of client travel services including booking commercial flights, private jet charters, obtaining hotel room rates, arranging ground transportation & car services, building complex multi-day itineraries, arranging dinner reservations, tour bookings, meet & greets, researching activities and other concierge services for clients’ trips.
  • Anticipate upcoming trips for important clients and proactively manage communications. 

Travel Coordination & Management:

  • Research and book international and domestic travel, including flights, accommodations, and transportation.
  • Develop detailed travel itineraries, ensuring seamless coordination of all aspects of travel.
  • Arrange welcome amenities and VIP services for clients.
  • Negotiate competitive rates with travel vendors and maintain relationships with preferred partners

Concierge Services:

  • Support concierge requests such as dining reservations, tours, event tickets, activities bookings and exclusive experiences while integrating them into travel itineraries.
  • Provide on-the-go support for travelers, offering quick solutions and managing last-minute changes.

Event Planning & Execution:

  • Collaborate with the events team to assist in planning and executing client events, both domestically and abroad.
  • Provide on-site support for events and manage logistics related to travel and accommodations.

Vendor Relationships & Business Development:

  • Build and maintain relationships with travel vendors, hotels, tour operators, and other industry partners.
  • Initiate, coordinate, and attend travel industry events and meetings with travel partners both in New York and possibly elsewhere
  • Identify new markets for travel experiences and contribute ideas for building strategic partnerships.

Administrative & Office Support:

  • Manage travel administrative tasks, including updating databases with travel contacts and client information.
  • Maintain accurate records of travel expenses and track travel commissions.
  • Answer telephones and handle general administrative duties as needed.
  • Share relevant travel-related information with the team through research and industry articles.

Team Management:

  • Oversee assistant account managers, travel account managers and intern staff, assisting in training and managing expectations with clients and vendors on all related travel items.


Qualifications:

  • Minimum of 2 years of travel industry experience
  • Experience in managing high-end clientele and delivering exceptional customer service.
  • Positive, professional, proactive and team-oriented demeanor.
  • Meticulous attention to detail and excellent organizational skills.
  • Self-motivated with a proactive approach to communication.
  • Passionate about travel and eager to contribute to a growing business.


Position Details:

  • Location: East Midtown, Manhattan office.
  • Hours: Monday - Friday, 9 am - 6 pm, with a daily 1-hour break.
  • On-Call Requirements: Approximately 6-8 weekends per year, and 2 late shifts (6-9 pm) per month, remote on-call via email.
  • Evening & Travel Availability: At least 2 evenings per month for client dinners and events. Potential for familiarization trips to global destinations.
